Job role

The associate job role determines the responsibility of the associate and provides an additional level of security to the POS application. In the POS application, the associate job roles provide the following functions:

  • Restrict access to features and functions to specific associates; for example, cashiers or sales associates
  • Determine features and functions that require authorization from specific associates; for example, store managers or supervisors
  • Authenticate authorization access to specific associates; for example, store managers or supervisors
  • Determine whether an associate can still sign on to The POS application; for example, terminated associates
Configurable features

The POS application can be configured with the following features.

  • Display the associate ID or alternate ID on the POS, print on the receipt, and use in the POSLog. Refer to the following option:
  • Print the Associate Name on the POS transaction receipts. Refer to the following option:
  • Specify which associate name option the POS displays on the status bar and prints on the transaction receipts and franking slips. Refer to the following options:
  • Display associate information on the POS status bar. Refer to the following option:
  • Configure length and allowable characters for an Associate ID. Refer to the following section:

To restrict unauthorized associates, for example, a cashier, from accessing features and functions, the POS application displays the Authorization Required screen. This screen requires an authorized associate, such as a manager, to sign on to complete the transaction.

Associate information is added or updated using the following applications:

  • Enterprise Web API
    Note

    Associate data sent from the enterprise is immediately sent and then applied to the designated POS terminals.

Use the following table to determine the default security levels, job codes, and job titles in the Advanced Store system.

Job title Security code (user role) Job code Description
Unknown 0 0 Refers to associates whose roles are not yet known during the time they are added in the system. These associates can sign on to the POS application.
Store
Managers
10 10 Refers to associates who can access information about a store’s functions and sales performance.
Department Manager 20 20 Refers to associates who can access information about department functions and performance.
Cashiers/ Sales Associates 30 30 Refers to associates who operate the POS application and are able to perform sales transactions, return transactions, and so on.
Other 40 40 Refers to associates who have an indefinite or unknown state. These associates can still sign on to the POS application.
Terminated 50 50 Refers to associates who no longer work for the store and thus cannot sign on to the POS application.
Inactive 60 60 Refers to associates who are either no longer working for the store or are assigned to tasks that do not require access to the Advanced Store back office or POS application. Associates who have taken a leave of absence but will return for work are tagged as Inactive. Associates who try to sign on to the POS application using IDs from this group cannot sign on to the POS application.
Regional and District Managers 70 70 Refers to associates who can access an overview of the store’s performance.
Store Support 90 90 Refers to associates who can access system administration functions.
Administrator 100 100 Refers to technical users who are assigned to the POS terminal of a newly installed POS. The technical user ID is automatically generated by a freshly installed POS to securely gather data from the enterprise.

The terms Job Role and Job Code are used interchangeably in The POS application.

Associates are identified by their associate IDs and may also be assigned with an alternate ID or employee number.
