Exchanging items for return without a receipt
Some retailers might restrict their stores from issuing a tender refund to its customers who return items without the original transaction receipt. As an alternative, retailers could offer the option to exchange the items for return with available items in the store. These transactions are known as exchange-only transactions, and by default, are not enabled in The POS application.
Exchange-only transactions are processed similarly as non-receipted return transactions. However, with exchange-only transactions, the POS application is applied with a purchase function to ensure that no refunds would be granted. The total amount of the exchange-only transaction should be equal to or greater than the purchase price of the original item. Similar to non-receipted return transactions, the POS uses the following customer information to process the exchange-only transaction:
- Customer ID
- Driver’s License
- Alternate IDs
Configurable features
The POS application can be configured with the following features.
- Prevent associates from adding items that are not found in the Product Catalog to the transaction. For more information, refer to Item Setup.
- Require information on the return item's date of purchase. Refer to the Enable Year of Purchase option in Returns Setup and DateOfPurchase option in Information Field Definitions.
- Set up the following exchange-only functions:
- Enable exchange-only transactions.
- Restrict from selling gift cards in an exchange-only transaction.
- Set the maximum acceptable number of returnable items in an exchange-only transaction.
- Require information on the return item’s year of purchase.
- Enable the POS application to prompt associates to manually enter the return price of items.

When the POS is integrated with a payment solution, the application checks if the payment terminal for EMV cards is offline at the beginning of an exchange-only transaction. For more information about payment solutions, consult with an NCR Representative.
The next sections describe the steps for processing exchange-only transactions using one of the valid customer information.
